🎯 Covers these PMP exam tasks: 3.7 Support organizational change

Many projects don't just deliver a building or a machine; they change the way people work: a new system at a bank, a new procedure at a hospital, a different production line at a factory. Organizational change management is the organized effort to help people move from the old way to the new one.

Resistance is natural and usually not bad intent. People resist because they fear for their jobs, don't understand why the change is happening, feel it was imposed without being asked, or worry they won't master the new tool. Understanding the real reason is the first step to addressing it.

The best remedy is involving users early: ask about their needs and let them try prototypes. Then communicate continuously, explaining "why" before "what", provide hands-on training at the right time, and choose change champions from among the staff themselves to support colleagues and carry feedback back to the team.

Handing over the product isn't the end of the story. The benefits that justified the project only happen if people actually use the new output. So the PM plans for support after handover: a hypercare period, channels for questions, measuring adoption, and a clear transition to the operations team who will carry on after the project closes.

💡 Key points

  • Projects change how people work, and change needs deliberate management.
  • Resistance is natural; find its real cause before judging it.
  • Early involvement, communication, training and champions are the core tools.
  • Benefits only come when the output is actually adopted after handover.

🌍 Real-life example

A hospital is moving from paper files to electronic medical records. Nurses objected at first because the system "takes longer than paper". Instead of forcing it, the PM formed a group with one nurse from each ward to test the screens, and the team shortened the data-entry steps. These nurses became change champions who trained their colleagues, and a support team stayed on the wards for two weeks after go-live. After a month, adoption was above 95%.
